Cancellation and refund policy

This policy applies to reservations made with Phoenix Portable AC.

1. Availability requests

Submitting an availability form, calling, texting, or requesting a quote does not create a reservation and does not authorize a charge.

A reservation is confirmed only after we approve the request and receive required payment.

2. Customer cancellation before dispatch

You will receive a full refund when:

• You cancel at least two hours before the beginning of the confirmed delivery window; and
• Our driver or delivery personnel have not yet been dispatched.

You may request one reschedule without a cancellation charge if:

• The request is made before dispatch; and
• A suitable alternative time is available.

3. Late cancellation or cancellation after dispatch

If you cancel less than two hours before the confirmed delivery window, or after personnel have been dispatched, we may retain or charge a $49 dispatch fee.

Any remaining amount paid will be refunded.

4. Failed delivery or unsafe setup

A $49 dispatch fee may apply if delivery or installation cannot be completed because:

• No authorized adult is present
• Access cannot be obtained
• The delivery address is inaccurate
• Stairs, windows, outlets, or property conditions were materially misrepresented
• The customer lacks permission for installation
• The requested setup is unsafe or not reasonably compatible with the equipment
• The customer refuses the confirmed equipment or price without a material discrepancy

The remaining amount paid will be refunded.

No dispatch fee will apply when the failed delivery was caused primarily by Phoenix Portable AC.

5. After delivery or installation begins

Once equipment has been delivered or standard installation has begun:

• The initial $99 rental charge is nonrefundable, except where the equipment is materially defective or Phoenix Portable AC materially fails to provide the confirmed service.
• There are no refunds for unused portions of the current 24-hour rental period.
• You may avoid future daily charges by notifying us that you do not want to extend and making the equipment available for timely pickup.

6. Additional rental days

Additional rental periods are generally paid one 24-hour period at a time.

Once an additional 24-hour period begins, that period is nonrefundable.

A prepaid future period that has not begun may be refunded if you notify us before it begins and provide access for pickup.

7. Equipment malfunction

Notify us promptly if the equipment becomes materially unusable.

If the malfunction was not caused by misuse, movement, blocked airflow, inadequate electricity, property conditions, or another customer-controlled cause, we will make commercially reasonable efforts to troubleshoot, repair, or replace the equipment.

If we cannot restore service within a reasonable period:

• We will refund the unused rental time beginning when the malfunction was reported; or
• If the equipment failed before the Customer received meaningful use, we will issue a full refund.

Delivery or installation charges may remain nonrefundable if the service was successfully performed and the Customer received meaningful use before the malfunction.

8. Cancellation by Phoenix Portable AC

If we cancel because equipment is unavailable, delivery cannot be completed, conditions are unsafe, or an event outside our reasonable control prevents fulfillment, we will:

• Offer a reasonable reschedule or substitute, where available; or
• Issue a refund of the amount paid for the unfulfilled service.

A refund is the Customer’s exclusive monetary remedy for a reservation we cannot fulfill, except where applicable law requires otherwise.

9. Cooling performance

A refund is not available solely because:

• The equipment did not cool an entire house or building
• A preferred temperature was not reached
• Doors or windows were left open
• The room was larger or more heat-exposed than disclosed
• The property had inadequate insulation or electricity
• The central HVAC repair took longer than expected
• The Customer chose to relocate or use a hotel
• The Customer no longer needed the equipment after delivery

This does not limit refunds for defective equipment or a material failure to provide the confirmed service.
